BTEC Level 3 Business Studies. Unit 4: Managing an Event

Event planning tools - Tools used to organise an event such a gannt charts, critical path analysis and online planning tools

Gantt charts - planning charts used to schedule resources and allocate time

Critical path analysis - A process that helps determine a project schedule by working out the impact of the earliest start time and latest finish time of individual tasks and their impact on the whole project

Online planning tools - Websites and applications that are specially designed to help event planners organise and stay on track with the numerous tasks involved in event planning

Event aims and objectives - The targets that are planned to be achieved by an event

Event budget - The money available to spend on an event event resources - flip charts, WI-FI, telephone, display boards, ability to make money, chairs, tables, Smart Board etc

Event venue - The place where an event takes place

Event catering - The food and drink provided to the attendees of an event

Legal constraints - The laws that limit the choices that can be made in the planning of an event

Event contracts - The legal documents that outline the agreed tasks each individual or organisation is going to complete in the planning of the event

Health and safety - The risk assessment and measures put in place to reduce the chance of injuries and to deal with them if they occur

Risk assessment - evaluation of the short-term and long-term risks associated with an event and the plans made to minimise their impact

Negligence liability - The responsibility of failing to provide standard of care

Teamworking in events - Allocation of tasks and planning meetings

Insurance - Regular payments made to an organisation who will then make a payout if something goes wrong

Public liability insurance - Covers against claims made by a member of the public for injuries arising while on the business premises. event promotion - Communication with potential attendees about the details of the event with the aim of increasing attendance

Letters - a written or printed communication addressed to a person or group

Invitations - a written or verbal request requesting somebody's attendance at an event

Contingency planning - the process of preparing alternative courses of action that may be used if the primary plans don't achieve the event objectives
