Unit 4: Managing an Event. Resources for BTEC Level 3 Business Studies
Now it is time to put your event plan into practice. You need to plan, stage and manage your event. You must gather evidence of everything you do. It is recommended that you present this evidence in the form of a blog.
You need to complete a range of tasks before you host the event (see below). Review the list to ensure that you can complete each on time and plan how you will gather evidence of each. This may involve copies of promotional materials, emails you have sent to suppliers, your risk assessment, photos of you completing tasks and witness statements.
Tasks to Complete Before the Event
Contracts for venue: suppliers, personnel.
Marketing of the event: publicity, advertising, sponsorship, guest list, invitations.
Customer service.
Monitoring procedures to ensure tasks allocated have been completed.
Security and health and safety.
Methods of communication: internally and externally.
Attendee evaluation: prepare, issue and collect questionnaires.
